Driver night-out, day-rate and incentive payroll for trucking
What a driver is owed comes from the trips he actually ran. Grillo Fleet Management Software works it out from the load register, so night-outs, day rates, deductions and bonuses aren't reconstructed from memory at the end of the week.
Night-outs and day rates from the trips
Night-out and day-rate amounts accrue from each driver's trips at the rates you set, into a weekly Night Out and Day Rate schedule. Once a week is submitted it's locked, and an old trip completed late settles into the week that's still open instead of changing a week already paid.
Subcontracted drivers never end up on your payroll: accruals are for your own fleet only.
Cash shortfalls and reimbursements from close-out
When a trip's cash doesn't balance at close-out, beyond a tolerance you set, the shortfall can go to payroll as a deduction, or money the driver spent from his own pocket as a reimbursement, with a signed deduction form.
Route incentives calculated automatically
Set a route's loads-per-week threshold, the payout and, where it matters, a minimum fuel consumption for a load to count. When a driver hits it, the bonus is calculated, dated for the following week and kept with the qualifying trips. New trips on a bonus route are suggested for it automatically.
Salaried drivers costed to their loads
For permanent drivers, the monthly cost to company is spread over the loads each one was away on and appears in Staff Costs next to night-outs and day rates. The Monthly Driver Cost report shows what each driver cost in a month, how much was charged to loads and how much was not on a load.
Payments and driver statements
Accounts Processing lines up each week's trips per driver against what's due. Payments are recorded as they're made, and a driver statement shows what was due and paid over any period, with the balance carried forward.
Common questions
Does it replace our payroll system?
No. It works out what each driver is owed from trips, deductions and incentives, ready to pay or capture in your payroll.
What happens when a trip is closed out weeks late?
Anything it adds settles into the week that's still open, never into a week that has already been paid.
Can incentives depend on fuel consumption?
Yes. A route can require a minimum km per litre for a load to qualify, worked out from the litres captured at close-out.
